The Role
Index Ventures is seeking a Fund Administrator and Legal Operations professional to support fund administration and legal operations for the Magnetic Scout Fund, with the opportunity to expand into broader Index Ventures responsibilities over time. The role will report directly to the Firm’s General Counsel, Michelle Fernandes
This role sits at the intersection of fund administration, transaction support, investor operations, and corporate governance. The successful candidate will work closely with Michelle Fernandes, Index’s General Counsel, Magnetic fund leadership, and external administrators and advisors. The Fund Administrator and Corporate Paralegal will take internal ownership of the administration of the Magnetic Scout Fund, with a path to broader Index support over time. The Magnetic Scout Fund is a standalone venture platform focused on seed-stage investments, operating alongside Index’s core funds and supported by a global network of prominent angels, executives, and operators.
This is a high-ownership role for a senior paralegal or fund administrator, not a traditional back-office position.
Responsibilities
Fund Administration & Investor Operations:
- Serve as a trusted operational and legal partner to the Magnetic Scout Fund leadership, anticipating needs and flagging risks proactively
- Support preparation, execution, and maintenance of fund and investor documentation
- Manage investor (angel) communications and requests
- Coordinate with external fund administrators, accountants, and advisors
- Maintain accurate fund records, documentation repositories, and trackers
- Support fund reporting, filings, and audit-adjacent requests
Transaction & Investment Support:
- Assist with investments, follow-ons, exits, divestments, and IPO-related activity
- Coordinate wires, closing logistics, and execution packages
- Compile closing binders, checklists, and precedent materials
- Track key terms, deadlines, and obligations
Governance & Legal Operations:
- Assist with the preparation of materials for LP meetings, advisory boards, and internal investment reviews
- Support fund and entity governance documentation and recordkeeping
- Coordinate regulatory and operational filings (e.g., ADD filings, D&O questionnaires)
- Assist with entity management across jurisdictions
- Help transition fund administration workflows from external providers to internal ownership
Additional Matters:
- Support ad hoc legal, compliance, and operational projects for Index Legal as the role expands beyond Magnetic
- Assist with the implementation and improvement of internal fund administration and legal workflows, systems, and best practices
- Help manage relationships with external counsel, fund administrators, tax advisors, and other service providers
- Support knowledge management, including maintenance of templates, precedents, playbooks, and internal guidance
- Assist with special projects related to new fund launches, restructurings, or strategic initiatives
- Provide flexible support across Index Ventures’ US legal and fund operations team as priorities evolve
Requirements
- 6+ years of experience as a:
- Corporate or fund paralegal
- In-house paralegal at a VC, PE, or investment firm
- Experience with fund documentation, transactions, or complex entity structures
- Exceptionally detail-oriented and highly organized
- Polished communicator comfortable working with senior executives and investors
- Proactive, ownership-driven, and able to operate with minimal supervision
- High integrity and discretion
- Willingness to obtain notary certification (Index will sponsor if needed)
- Initiative to handle any legal matters for Index Legal
Compensation & Benefits:
- The salary range for this position is $160,000 – $200,000 per year, plus bonus and a competitive benefits package. A candidate’s salary is determined by various factors, including, but not limited to, relevant work experience, skills, certifications, and location.
